I received a spam email yesterday advertising a phone answering service. Normally, spam gets my delete key immediately. But this one caught my eye:
“Your 5 Minute Receptionist team will greet, screen and announce your callers to you based on your specific instructions. Our super-friendly professional receptionists work from our office but appear to callers as though they are right outside your door. No insurance benefits, no hardware, company match payroll taxes and no management headaches…just great service!”
Note that they call their company a receptionist team. That immediately got my attention. They clearly understand how to get attention when asking for your business. Note also they focus on the benefits to you. Now that’s a good advertisement.
Too many contractors are still not good at answering their telephone like a professional. When I call a contractor, and I do that between 2 to 10 times each day, I hear “hello” more than any other response. Not very inspiring!
How do you and your staff answer your phones? Do you give the caller a quick hello and then hope something happens? Or, do you have a professional response that customers love to hear?
Good morning/afternoon — (A motivational message)
Company name — (Hey, I reached the right #)
This is (your name) — (Now they know who they are speaking to)
How may I help you? — (Words customers love to hear)
You don’t get many opportunities to make a good second impression.
